How Inspectify Manages Property Access
Learn how Inspectify coordinates property access before and during an inspection, including automated reminders, real-time access tracking, and what to expect if a contractor encounters an access issue.
What is changing with how Inspectify manages property access?
We are introducing automated, real-time access tracking to help ensure smoother inspections and faster resolution if a contractor encounters an access issue at the property.
To help ensure a smooth inspection, the designated access contact on the order will receive an SMS text message 15 minutes before the scheduled inspection start time. The message serves as a reminder that the inspection is about to begin and informs them that the contractor may reach out if assistance is needed to access the property.
What happens if an access issue occurs, and how am I involved?
If a contractor cannot access the property, Inspectify requires them to complete a mandatory, step-by-step in-app workflow to troubleshoot and document the issue while on-site.
What to expect: As part of this process, the contractor is required to immediately call or text the designated access contact listed on the order to help resolve the issue as quickly as possible.
Will I be able to view proof of the access issue?
Yes. We believe in complete transparency. If a contractor is unable to access the property, all information collected during the access attempt is compiled into a comprehensive Access Issue Report, which is available in the Report Hub.
Depending on the situation, the report may include:
- A description of the specific access issue encountered.
- A video of the contractor's access attempt (for example, entering a lockbox code).
- A photo confirming the contractor's presence at the property.
- An exterior walkthrough video of the property.
Safety Note: If an inspection is stopped due to an active safety hazard, the information included in the Access Issue Report may be limited to prioritize the contractor's immediate safety.
How will I receive updates if there is a problem?
You will be kept informed throughout the process with automated SMS text messages and email notifications. You will receive updates when:
- An access issue is opened.
- The contractor successfully resolves the issue and begins the inspection.
- The contractor is unable to access the property, and the inspection must be rescheduled.
You can also track progress in real time through your Inspectify Dashboard, where order notes will provide live updates and include a direct link to the Access Issue Report as soon as it becomes available.
If the contractor can’t access the property, will I be charged an access fee?
An access fee is only assessed if the contractor makes every reasonable effort to access the property but is unable to do so due to circumstances outside of Inspectify's control.
To ensure complete transparency, every access issue is documented in an Access Issue Report, which may include GPS verification, photos, videos, and other supporting evidence. This allows you to see exactly why the access fee was applied.
How much time do we have to resolve an access issue?
Once a contractor reports an access issue in the app, a 15-minute resolution window begins. During this time, both the contractor and the Inspectify Support team will actively work to resolve the issue by contacting the designated access contact.
If access cannot be established within the 15-minute window, the inspection will be marked as unsuccessful and will need to be rescheduled.
